How do I reserve office hours as a Finalist?

Reserving Office Hours sessions


Office hours are a great resource that MassChallenge encourages you to take full advantage of. Mentors who offer office hour sessions can be found on your office hours calendar when you log in to the accelerate platform and select "Office Hours" from the menu available on the left of your screen.

When mentors are offering office hours sessions your calendar will display them one week at a time.

Below is an example of what your calendar will look like when you are viewing available office hour sessions and viewing any reserved office hours sessions you have.

Below is an example of what a week with no available office hours and no reserved office hours will look like.

Reserving an Office Hours Session

1. Select timezone

Using the drop down menu near the right side of the calendar, select the timezone that you wish to view the office hours reservations in.

2. Select date

Clicking the date near the left of the calendar will open a mini calendar that will allow you to choose the month and week that you want to view office hour sessions for.

3. Select office hour session

By clicking on a mentor who has available office hour sessions under the "Available times" section of the calendar, you will be able to see a full list of the sessions they have scheduled for that day.

You may only reserve one 30 minute session at a time. To do so click the blue, "select" button. You may reserve multiple sessions the same day if they are available.

You can also view the profile of the mentor by clicking on the "view profile" link

To dismiss this modal without reserving any sessions, click the "close" button on the bottom right of the modal.

4. Reservation details

Selecting a session will open up a small modal that will display the details of the session, such as Mentor name and title, a profile link, the time, location and a message field for you to tell the mentor what you would like to address in the session.

The message field must  contain a message to the mentor or you will be unable to reserve it.

To dismiss this modal without reserving the session, simply click the "close" button.

The example below illustrates an office hour reservation that is ready to be submitted.

5. Confirmation

Once you have reserved a session you will see a confirmation message appear at the bottom of the screen.

The reserved office hour will then appear under the "All reservations" section of your calendar.

An email confirmation will be sent to you as well as the mentor that you have reserved a session with.

6. Viewing reserved session details

To view any office hour you have reserved, simply click the specific session under the "All reservations" section of your calendar.

A modal will appear, displaying the details of the session.

7. Cancelling a session

To cancel a session, click on the session under the "All reservations" section of your calendar.

Click the "Cancel Session" button and a small modal will appear asking for you to confirm.

You can send a message to the mentor here explaining the reason, or to make a request for another time etc.

Once you are ready to cancel, click the "Send Cancellation" button. This will notify the mentor via email that the session has been cancelled by you and it will include the note that you entered.

If you do not wish to cancel, click the " Never mind, take me back" button, and the modal will close, leaving your reserved office hour untouched.
